Best Practice
How do I use them?
- Make sure you’ve toggled on enable generic link (in step one of the survey builder)
- Select the user identifier
- email address (if employees have them)
- enter an ID, if using QR codes for cases where employees don’t have email addresses. This can be their employee number or a national insurance number, make sure customer communicates really clearly where to find their employee ID
- system generated random ID, only if there’s no links to filters needed or people are self-selected filters within the survey
- On survey homepage, go to your survey & use the right hand drop arrow to “copy link” which gives you your live survey link
- Pop the link into https://www.qr-code-generator.com/ to create the QR code for free
- Ready to share it on company meeting slides, event screens, posters, in store tablets, in an email, wherever it’s being distributed
Can I use a QR code for the same survey as an email send method (and I want all results in same dashboard)
Yes of course! You can use the individual email method for the main send and generate a QR code for any employees who need it.
Make sure your comms are extremely clear that if you receive an email survey, to complete it via that route, and only to use a QR code if haven’t received an email
How do we handle QR code sends if employees don’t have a email address?
We can use the “enter an ID” method and communicate with employees where to find their employee ID
In this method we have to create a dummy email address for these humans
If I’m running surveys in multiple stores or factories for example, do you recommend 1 QR Code? Or a QR code per location?
In most cases we’d recommend 1 QR code and allowing employees to self select their location / store / factory at the start of the survey to capture that as results filter information
How do we handle translation needs within the QR code method?
No problemo - after scanning the QR code respondents will be offered the preferred language drop down choice
Have you got any advice on handling anonymity questions when employees have to enter an email address at the start of the survey?
We totally understand that can be a confusing area with regards to anonymity. We recommend being really clear around the reason for entering the email address, this enables THI to link your answers to your department and location, allowing for better deep dive analysis and action planning for your team. Your answers will never be identifiable to you, and we use the golden rule of 5, meaning reporting is only available for groups of 5 or over, an extra protection on anonymity.
